This privacy policy explains how Britannia Sandersteads collects, uses, shares and protects your personal information when you contact us, request a quote, use our removals, storage or shipping services, or visit this website. It also sets out your rights under UK data protection law.

3. The information we collect

Depending on how you interact with us, we may collect:

  • Contact details – name, email address, telephone number, and your current and destination addresses.
  • Move details – property type and size, inventory of items, moving dates, access information, and any special requirements you tell us about.
  • Service and account information – quotes, bookings, surveys, correspondence, and storage account details.
  • Payment information – billing details and payment records. Card payments are processed by our payment providers; we do not store full card numbers.
  • International move information – where you are moving abroad, we may need additional details required for customs and shipping documentation.
  • Website and technical data – IP address, browser type, pages visited and similar information collected through cookies and analytics (see section 10).
  • CCTV – our Godstone depot and storage facility are monitored by CCTV for security; images of people on site may be recorded.

You can browse this website without giving us personal information. We only collect the details above when you choose to provide them, or where they are automatically collected through cookies.

4. How we collect your information

We collect information directly from you when you fill in a form on our website, request a quote or video survey, call or email us, book a move or storage, or visit our premises. We also collect technical information automatically when you use our website, and occasionally receive enquiries passed to us through the Britannia Movers International network.

5. How we use your information and our lawful bases

Under UK GDPR we must have a lawful basis for using your personal information. We rely on the following:

  • To provide a quote and carry out your move, storage or shippingperformance of a contract (or taking steps at your request before entering into a contract).
  • To respond to enquiries and provide customer supportlegitimate interests (responding to people who contact us) or steps prior to a contract.
  • To handle international shipments and customsperformance of a contract and compliance with a legal obligation.
  • To take payment and keep accounting and tax recordsperformance of a contract and legal obligation.
  • To operate CCTV and protect our premises, vehicles and stored goodslegitimate interests (security and crime prevention).
  • To send marketing (where relevant) – consent, or legitimate interests for existing customers about similar services. You can opt out at any time.
  • To improve and secure our websitelegitimate interests and, for non-essential cookies, consent.

6. Marketing

We will only send you marketing communications where you have agreed to receive them, or where you are an existing customer and we are contacting you about similar services. You can ask us to stop at any time by emailing info@sandersteads.com or using the unsubscribe link in our emails.

7. Who we share your information with

We do not sell or rent your personal information. We may share it with:

  • Britannia Movers International network members and agents – where they assist with part of your move, storage or destination services.
  • Approved subcontractors and partners – such as shipping lines, freight forwarders, overseas destination agents and specialist handlers, where needed to complete your move.
  • Customs authorities and port/border agencies – where required for international shipments.
  • Service providers – including our IT, hosting, payment, accounting and email/marketing providers, who process information on our behalf under contract.
  • Professional advisers, insurers and authorities – where necessary to manage claims, comply with the law, or protect our rights.

Where third parties process information on our behalf, we put appropriate contracts in place requiring them to keep it secure and use it only for the purposes we specify.

8. How long we keep your information

We keep personal information only for as long as necessary. As a general guide:

  • Customer and contract records: up to 6 years after your move or the end of our relationship, to meet accounting, tax and legal requirements.
  • Quotes and enquiries that do not lead to a booking: normally up to 12 months.
  • CCTV footage: normally around 30 days, unless retained for a specific incident.
  • Marketing preferences: until you opt out or ask us to delete your details.

When information is no longer needed, we securely delete or anonymise it.

9. International transfers

If you are moving abroad, or where our service providers or network agents are based outside the UK, your information may be transferred to and processed in other countries. Where we transfer personal information outside the UK, we take steps to ensure it is protected by an adequate level of protection — for example through UK adequacy regulations or standard contractual clauses (the International Data Transfer Agreement or equivalent safeguards).

10. How we protect your information

We use appropriate technical and organisational measures to keep your information secure and to guard against unauthorised access, alteration, disclosure or destruction. These include access controls, secure systems and staff awareness. No transmission over the internet can be guaranteed to be completely secure, but we take all reasonable steps to protect your data.
